OCCUPATIONAL SUMMARY:
This individual will perform administrative functions in support of office staff. Responsibilities include providing high-level administrative support by performing word processing procedures, database management/maintenance, and utilizing spreadsheets. This position is located at a Government site in Charleston, SC.
TYPICAL DUTIES:
- Receives, reviews and verifies invoice requests.
- Reviews contract funding data to insure correct obligation in applicable accounting systems.
- Prepares and processes invoice prompt pay certification sheets.
- Types, edits, formats and prints a wide variety of documents for the office staff including correspondence, reports, contractual documents, technical notes, presentation and briefing material.
- Maintains inventory of office supplies.
- Maintains documents in filing system.
- Prepares travel orders and maintains travel order log.
- Receives visitors and phone calls and answers routine inquiries.
- Distributes and picks up mail daily. Processes overnight express mail.
- Receives, logs and routes invoices to appropriate personnel.
- Accomplishes additional tasks as assigned.
REQUISITE SKILLS:
- Must have a high level of interpersonal skills to handle sensitive and confidential situations and information. Position continually requires demonstrated tact and diplomacy. A professional appearance and telephone manner is essential.
- Must be able to interact and communicate with individuals at all levels.
- Work requires continuous attention to detail in composing, typing and proofing materials, and the ability to establish priorities and juggle multiple competing tasks and demands.
- Excellent verbal and written communication skills.
- Proficiency in MS Word and Excel.
- U.S. Citizenship required.
EDUCATION & EXPERIENCE:
Education: Some college coursework is required. Four year college degree in business administration or relevant area is preferred
Experience: Two (2) to five (5) years of related experience. Prior experience providing administrative support to Government personnel preferred.
